The Brief

Issue 003

Stop chasing the person. Name the next move.

"Waiting on someone" is not an action. Visible commitments unblock the work.

The "checking in" trap

In property management, few phrases waste more time than: "I'm waiting to hear back from Sarah." Pinging teammates with "just checking in" creates inbox clutter, shifts emotional friction, and leaves the client waiting without a committed finish line.

Track the unblocking condition, not the person

A gate repair stalls with a $1,200 bid because the coordinator emailed the property manager for approval without a deadline or escalation trigger. "Waiting on someone" hides the real bottleneck: an unmade decision or missing evidence.

The four elements of a reliable handoff

Every pending handoff must answer four concrete elements:

  1. The Specific Blocker: What exact decision or artifact is missing?
  2. The Decision Owner: Exactly one person who can provide it.
  3. The Next Update Time: The exact hour when the next touchpoint will occur.
  4. The Escalation Path: Who steps in if the committed time passes.

The Stalled-Matter Audit

At your next morning huddle, find three threads sitting in "Waiting" for over 24 hours. Strip out the person's name and replace it with the missing decision, set a hard update time today, and establish the default escalation action.
